Which networking tool can a city's business team order for one event?
Kohtaa can be ordered for a single event: Medium at 100 EUR for up to 100 attendees, or Large at 950 EUR above that, VAT included. You place the order yourself, the event can go live when it is submitted, and the invoice is issued before or after the event as you choose, due 14 days after the invoice date. There is no long-term contract.

What do these events look like?
Typical events are community and business events run by a city or regional development team: a networking evening, an investor day, a founder breakfast. Attendance is often between 80 and 120, which is why event size matters for the order: up to 100 attendees is Medium, above that is Large.
Registration often sits in the organizer's own system, sometimes for data-protection reasons, and attendees join the event with a link shared in the confirmation message. Kohtaa is the networking layer on the day; it does not replace the registration system.
What will our data-protection reviewer ask, and where are the answers?

For a pilot where your organization collects no personal data itself, Kohtaa (Curtis Thomas, trading as Kohtaa) is the data controller and the privacy policy governs. If your organization needs to hold the controller seat, a data processing agreement is available on request.

You can upload a CSV export from your own registration system. Kohtaa emails each person a join link and fills in their name and organization when they join. There is no direct sync with registration systems today. The organizer can also write a data notice for the event, shown before an attendee joins.

Attendees see the other attendees' profiles and their own connections. The organizer and co-organizers see the attendee list with the profile fields filled in, can export it, and see aggregate meeting counts. Meeting pairs are private by default, so an organizer cannot see who met whom.

How does ordering for a single event work?
Choose Medium (100 EUR, up to 100 attendees) or Large (950 EUR, above that), VAT included. The order form asks for the organization's legal name, business ID and billing contact, with an optional purchase order reference and e-invoice address. The event can go live when the order is submitted.
The invoice is issued before or after the event, as you choose, and is due 14 days after the invoice date. The procurement pack has the supplier details, the answers to the seven-item data-protection checklist and a short supplier summary you can paste into your own form.
Frequently asked questions
Does the city have to collect any personal data?
Not for a pilot run this way. Your own data-protection team confirms whether that fits. Attendees join by themselves and give their details directly to Kohtaa, which is the data controller. Uploading a registration list is optional and is a different arrangement, so say so in your own notice if you do it.
Where is the data stored?
The application, the database and uploaded images run on Hetzner in Helsinki, Finland, and data is stored only in the EU. Email is sent through Brevo in France. Optional sign-in with Google or LinkedIn, and optional Telegram reminders, send some data outside the EU, and attendees choose whether to use them. Hetzner holds ISO/IEC 27001:2022 with Helsinki in scope; Kohtaa itself holds no certification.
Can we write our own data notice for the event?
Yes. The organizer can write a data notice for each event, in English and Finnish. It is shown to attendees before they join and on the invite page. The join step also names Kohtaa as the controller and links to the privacy policy.
How long is attendee data kept?
Attendees can choose to have their account and personal data erased 7 days after the last event they are attending ends, or delete it at any time from their account. Erasure removes personal data; an anonymous record that two people connected at an event remains. An uploaded registration list is deleted or anonymised 7 days after the event.
Can you send a supplier summary for our procurement form?
Yes. The procurement pack has a short supplier summary you can paste into your own form: who supplies Kohtaa, how to order, the prices, where the data is and who the controller is. You can also write to curtis@kohtaa.com and expect a reply within one business day.
Is there a contract to sign?
There is no long-term contract. You place an order for the event, and the order terms are shown on the order form. If your organization requires a data processing agreement, a template is available on request.
