How do investors and founders book meetings at a pitching event?

An investor browses the startup catalogue, opens a company profile and requests a meeting in a time slot the organizer has set up. The founder accepts or proposes another time, and the meeting appears with its time and table. After the event both sides confirm that the meeting took place. Meetings are requested by people; Kohtaa does not pair investors and startups automatically.

What does a pitching event look like on Kohtaa?

An investor event on Kohtaa is a structured event: the organizer defines meeting slots and tables, and attendees join as Founder, Investor or whatever labels the organizer sets. Investors browse the startup catalogue and the attendee list before the day and request meetings against the open slots.

Founders are usually busy preparing and pitching on the day, so the booking happens before the doors open and on a phone, not in a queue at a table. The organizer sees the slot grid fill up, along with counts of requests and confirmed meetings.

Why does the startup, not only the founder, need a profile?

  • The startup is what gets booked

An investor looks for a startup first and a person second. Kohtaa has company profiles alongside attendee profiles, so a meeting can be requested with a company, and you can see which founder accepted it.

  • Time slots and tables

The organizer sets up the meeting slots and tables. An investor proposes a slot, and the founder accepts, declines or counters with another time. Reminders go out by email before a booked meeting.

  • Who sees which meetings

Who is meeting whom is private by default. The organizer sees counts and which slots are occupied, not names. Large and Annual events get a post-event report, which can include a count of founder-investor pairs when the event used both labels. The labels are self-declared and not verified.

What does it cost for an event above 100 people?

An event above 100 attendees is a Large event: 950 EUR per event, VAT included. If you run several events in a year, Annual is 3,900 EUR per year with unlimited events. Medium, for up to 100 attendees, is 100 EUR per event.

You place the order yourself from the event page, and the event can go live when it is submitted. Payment is by invoice, issued before or after the event as you choose, and due 14 days after the invoice date. For a pilot where your organization collects no personal data itself, Kohtaa is the data controller. The procurement pack has the supplier details.

Frequently asked questions

Can an investor see every startup before the event?

Yes. The startup catalogue and the attendee list are live from the moment people join, so an investor can browse every startup that has joined before the event starts, and filter the list by role or by the labels the organizer set. A startup that has not joined yet is not listed.

Can the organizer set meeting slots and tables?

Yes. The organizer sets up the meeting slots and tables for each day of the event, and can change a table afterwards. Attendees request a slot, and the other side accepts, declines or proposes another time.

Are investor and founder labels verified?

No. They are labels the attendee picks when joining, from the list the organizer defined. Kohtaa does not verify who is an investor or a founder. Reports describe people as having joined as a Founder or an Investor.

What happens if a booked meeting does not take place?

After the event, each person confirms whether the meeting took place. Only a meeting that both people confirm counts as held, and the organizer's count of people met face to face is built from those. A meeting that one side does not confirm is not counted.

Can attendees get reminders?

Yes. Attendees get email reminders before a booked meeting, and can optionally link Telegram to receive reminders there. Telegram is operated outside the EU, so it is optional and stays off until the attendee links it.
